TaxSphere AI LLC (“TaxSphere,” “we,” “us,” or “our”) operates Qalm at qalmtax.com (the “Service”). This Privacy Policy explains what information we collect, how we use it, and what choices you have.
We believe in being straightforward about data practices. This policy is written in plain English because you shouldn't need a law degree to understand how your data is handled.
1. Information We Collect
Information You Provide
When you use Qalm, you may provide us with:
- Account information: Your name and email address when you create an account.
- Income and expense data: W-2 income, freelance income, short-term rental income, deductions, and other financial figures you enter into our calculators and dashboard.
- Filing status and state: Your tax filing status (Single, Married Filing Jointly, Married Filing Separately, or Head of Household) and state of residence.
- Payment information: When you subscribe to a paid plan, your payment details are collected and processed by Stripe (see Section 4). We do not receive or store your credit card number.
Information We Do NOT Collect
We want to be clear about what we never ask for and never store:
- Bank account numbers or credentials
- Social Security numbers
- Copies of tax returns
- Government-issued identification
- Employer Identification Numbers (EINs)
We intentionally designed Qalm so that none of this information is needed to provide our service.
Information Collected Automatically
We use PostHog for analytics in cookieless mode. This means:
- We do not use cookies, localStorage, or any browser-based tracking mechanism.
- We do not track you across websites.
- We collect anonymous, aggregated usage data such as: pages visited, features used, general geographic region (country/state level), device type (mobile vs. desktop), and browser type.
- This data cannot be used to identify you personally.
Because we use cookieless analytics, no cookie consent banner is required, and we do not participate in any ad tracking or retargeting networks.
2. How We Use Your Information
We use the information you provide solely to:
- Provide the Service: Calculate tax estimates, generate AI summaries, display your dashboard, and deliver features you've subscribed to.
- Process payments: Facilitate subscription billing through Stripe.
- Send transactional emails: Account confirmations, quarterly tax reminders, payment receipts, and important service updates via Resend.
- Improve the Service: Understand how users interact with Qalm (using anonymous, aggregated analytics) to make the product better.
- Provide support: Respond to your questions and resolve issues when you contact us.
We do not use your information for advertising, profiling, or any purpose beyond operating and improving Qalm.
3. We Do NOT Sell Your Data
We do not sell, rent, license, or trade your personal information or financial data to any third party. Period.
We do not share your data with data brokers, advertisers, or marketing platforms. We do not monetize your data in any way other than through the subscription fees you pay for the Service.
4. Third-Party Services
We use a limited number of third-party services to operate Qalm. Each is used for a specific purpose, and we share only the minimum data necessary:
Stripe (Payment Processing)
- What they receive: Your payment method details (credit card number, expiration, billing address) and subscription information.
- What we receive from Stripe: Confirmation of payment, subscription status, and the last four digits of your card. We never see or store your full credit card number.
Supabase (Database and Authentication)
- What they store: Your account information and the income/expense data you enter into Qalm. All data is stored on US-based servers and encrypted at rest.
Anthropic (AI Processing)
- What they receive: When you use AI-powered features (such as the AI instant estimator or “Ask Qalm”), your input and relevant financial context are sent to the Anthropic Claude API to generate plain-English summaries and explanations.
- Important: Anthropic's data retention and usage policies apply to data processed through their API. As of our last review, Anthropic does not use API inputs to train its models, but you should verify their current policies.
- What we send: Only the information needed to generate your summary — typically your income figures, filing status, state, and the specific question or context. We do not send your name, email, or payment information to Anthropic.
Resend (Email)
- What they receive: Your email address and the content of transactional emails we send you (welcome emails, quarterly reminders, payment notifications).
PostHog (Analytics)
- What they receive: Anonymous, aggregated usage data only. No personally identifiable information. Cookieless mode ensures no cross-site tracking.
Vercel (Hosting)
- What they receive: Standard web server logs (IP addresses, request timestamps, URLs accessed). These logs are used for performance monitoring and security.
5. Data Storage and Security
Your data is stored in Supabase, which uses US-based servers with encryption at rest and in transit. We implement Row Level Security (RLS) in our database, which means your data is isolated at the database level — even if there were a software bug, database-level policies prevent one user from accessing another user's data.
We use industry-standard security practices including:
- HTTPS encryption for all data in transit.
- Encrypted database storage at rest.
- Row Level Security policies on every database table.
- Secure authentication through Supabase Auth.
- Regular security reviews of our codebase and infrastructure.
While we take security seriously and implement robust protections, no system is 100% secure. We cannot guarantee absolute security of your data.
6. Data Retention
- Active accounts: Your data is retained for as long as your account is active and you continue to use the Service.
- Account deletion: When you delete your account (via account settings or by emailing help@qalmtax.com), we will delete your personal data and financial information within 30 days. Some anonymized, aggregated data (which cannot be used to identify you) may be retained for analytics purposes.
- Free users without accounts: If you use Qalm without creating an account, we do not store any of the financial data you enter. Calculations are performed in real-time and are not saved.
- Legal requirements: We may retain certain data beyond the deletion period if required by law (for example, payment records for tax or accounting purposes).
7. Your Rights
You have the right to:
- Access your data: View all data associated with your account through your dashboard, or request a complete export by emailing help@qalmtax.com.
- Export your data: Download your income data, estimates, and other information at any time via account settings.
- Correct your data: Update or correct any information in your account through the dashboard, or contact us for assistance.
- Delete your data: Delete your account and all associated data at any time via account settings or by emailing help@qalmtax.com.
We will respond to data requests within 30 days. There is no fee for exercising these rights.
If you are a resident of California, the European Economic Area, the United Kingdom, or another jurisdiction with specific data protection laws, you may have additional rights under applicable law. Please contact us at help@qalmtax.com to exercise any additional rights.
8. Children's Privacy
Qalm is not directed at anyone under the age of 18. We do not knowingly collect personal information from children under 18. If we learn that we have collected personal information from a child under 18, we will take steps to delete that information promptly. If you believe a child under 18 has provided us with personal information, please contact us at help@qalmtax.com.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you via the email address associated with your account at least 30 days before the changes take effect.
We will also update the “Last Updated” date at the top of this policy. We encourage you to review this policy periodically.
10. Governing Law
This Privacy Policy shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict-of-law principles.
